Our platform enables organisations to rapidly respond to evolving clinical practice, ensures appropriate governance oversight, with instant distribution to staff at the patient bedside.

This page contains an overview of the onboarding process and can serve as a reference when you and your team are being onboarded.

Onboarding Overview

Implementing Clinibee will be transformational for your organisation or department and to ensure maximum benefit we have built a manageable process that has a workflow with well-defined states and outcomes that you can reliably anticipate and measure at each step.

Onboarding is done in six simple steps. The process typically takes 4-6 weeks. These steps will build confidence in the platform, generates momentum across the organisation or department and allow stakeholders to see the benefits in the real world.

STEP 1

Kick off

Duration: 1 day

Step 1 is all about determining the core team, how they will communicate and uncovering any local priorities. This is done via a 30-45min kick off meeting.

At this meeting the Clinibee team will provide an overview of how onboarding works and set expectations for the process.

We will agree the customer team that will handle day to day decisions and sign off. We will also agree on the content that will be initially loaded into the library.

Lastly, we agree a provisional Go Live date.

STEP 2

Account Setup

Duration: 1 week

Following step 1, the Clinibee team will setup your account and invite all the team as members.

The Clinibee team will also setup any default features within the library ready for review by the team.

At the end of this process, we will give your team the option to book in a training session to get familiar with Clinibee and it’s features.  

STEP 3

Collation & Transcription

Duration: 2 weeks

At this step of your onboarding process, we ask you to collate and upload your content. We’ll then transcribe your guidance documents onto the Clinibee platform. All relevant upload links will be sent to the team so you can upload your current guidelines.

Once the guidance is collated together and sent to us, we begin the transcription  and loading of all of your documents onto Clinibee.

This process will also include setting the background information such as authors, effective & review dates.

We will let you know once it is time for you to go in and give your approval ahead of go-live.

STEP 4

Sign Off

Duration: 2 days

The transcribed documents are checked internally by our team. We will then ask the the clinical team to review and approve before publication.

At the end of this process the library is signed off and a Go Live date is agreed with the Clinibee team.

The library is now ready for clinical use across your department or organisation.

STEP 5

Marketing

Duration: 2 weeks

We now have a library of published clinical content and the library is ready for use. To ensure maximum impact we will guide the team through a marketing effort to ensure clinicians are aware of the imminent Go Live.

We have a set of marketing materials that can be used for this purpose and material can be adjusted depending on the region.

To ensure we reach the right people, we work with the team to identify:

  • The clinicians we need to reach
  • The right marketing channels

We will then build a marketing campaign with the team to build momentum ahead of the agreed Go Live date.

STEP 6

Go Live

Duration: 1 day

The library is ready for use, we have sign off and a marketing campaign has run to build momentum. Staff will have registered on Clinibee and requested to follow the library.

The library now moves into production mode where changes can be made and additional content can be rolled out across the library.

Clinical staff will receive this content, in real time, via the Clinibee Web, iOS or Android apps.
